Quebec invoice template · Word, Excel, PDF Quebec invoice template with GST and QST (free)

In short

A Quebec invoice shows, at a minimum, your business name, the date and the total amount. Depending on the value of the sale, taxes included (under $100, $100 to $499.99, $500 or more), Revenu Québec adds the GST and QST, your registration numbers, the client's name, the payment terms and a description of the work.

Fill in the generator below: the GST (5%) and the QST (9.975%) are both calculated on the amount before tax, each rounded to the cent. Print the invoice, save it as a PDF, or download the Word or Excel template.

What the invoice must include

Revenu Québec lists the information to show according to the total value of the sale, taxes included. It is what your registered client needs to support input tax credits (ITCs) and input tax refunds (ITRs). The Canada Revenue Agency publishes the same thresholds for the GST.

RBQ licence: the Building Act requires contractors to show their licence number on their estimates, bids, contracts, account statements and invoices, in the form “RBQ licence: XXXX-XXXX-XX”. The RBQ exempts members of the Corporation des maîtres électriciens du Québec and of the Corporation des maîtres mécaniciens en tuyauterie du Québec, as well as contractors domiciled outside Quebec.

Language: under section 57 of the Charter of the French language, invoices, receipts and acquittances must be drawn up in French, and no one may send one in another language if its French version is not accessible to the recipient under conditions at least as favourable. The generator produces the invoice in French or in English: choose the document language.

Frequently asked questions

For a sale under $100, taxes included: the business name, the date and the total amount, plus the QST amount and a description of the property or service for QST purposes. From $100 to $499.99: add the GST and QST amounts and your registration numbers. At $500 or more: add the client's name, the payment terms and the description. These are the thresholds published by Revenu Québec. If you hold an RBQ licence, its number also goes on the invoice.

According to Revenu Québec, you must register for the GST and the QST if your taxable supplies exceed $30,000 in a given calendar quarter, or in the four preceding calendar quarters. Under that threshold you are a small supplier: registration is not mandatory, except for certain activities that Revenu Québec lists. If you are not registered, choose “Unregistered small supplier: no tax” in the generator. Check with your accountant.

Multiply the subtotal before tax by 5% for the GST and by 9.975% for the QST: the QST is calculated on the same amount, not on the GST. Round each tax to the cent (fractions of $0.005 or more go up). In the fictional example, a subtotal of $1,567.00 gives a GST of $78.35, a QST of $156.31 and a total of $1,801.66.

Yes: the generator produces the invoice in French or in English. Choose the document language, and make both versions if needed. In Quebec, section 57 of the Charter of the French language provides that invoices are drawn up in French; a version in another language is allowed only if the French version is accessible to the customer under conditions at least as favourable.

The RBQ asks for the form “RBQ licence: XXXX-XXXX-XX” (10 digits). The generator prints it under your contact details, with your GST and QST numbers. Members of the Corporation des maîtres électriciens du Québec and of the Corporation des maîtres mécaniciens en tuyauterie du Québec, as well as contractors domiciled outside Quebec, are exempt from displaying it, according to the RBQ.
