Work order template · Word, Excel, PDF Free work order template

In short

A work order records what was done at the client's: the date, the technician, the request, the work performed, the materials installed, the hours and the client's signature. The office uses it to follow up on the job and to prepare the invoice.

Fill in the generator below, with or without prices. Print the work order, save it as a PDF, or download the Word or Excel template.

Fill in your work order

Fill in the fields: the preview updates as you type. For a work order without prices, uncheck “Show prices and taxes on the work order”. To start from scratch, clear the document.

Nothing is sent or saved: the work order is prepared in your browser and is erased when you close the page.

Both files contain the fictional example of an electrical service call: replace it with your own. In Excel, the hours, GST, QST and total recalculate on their own.

In Word, totals don't recalculate: check them with the generator or in Excel.

In Quebec, the work order is what ORYX calls a job

In the field, people say “the job”: the call, the visit, what was installed, the time spent. The work order is its written record.

In ORYX Console, a job brings together the visits, hours, photos and materials. In the iPhone app, the technician sees the monthly calendar and the job sheet, moves through the On the way and On site steps (the client gets a text at each step) and punches in and out.

If the work order doubles as your invoice, it must show the information an invoice requires and, under section 57 of the Charter of the French language, be drawn up in French or come with a French version available on terms at least as favourable: see the invoice template with GST and QST.

Frequently asked questions

It's the document that describes a service call at a client's: the date, the technician, the request, the work performed, the materials installed and the hours. The client signs it at the end of the visit. It is also called a service ticket, a job sheet or, in the field, the job.

The work order says what was done. The invoice asks for payment, with the tax information required by amount: GST and QST numbers, taxes, payment terms. The signed work order then serves as the basis for preparing the invoice.

The template includes a line for the client's signature and one for the technician's. A signature at the end of the visit confirms that the client saw the work and the hours written down: that's fewer discussions when it's time to bill.

Both work. Uncheck “Show prices and taxes on the work order” for a work order that only shows materials and hours, for example when the price is set by contract. Leave it checked so the client sees the amount right away: in the fictional example, $349.24 taxes included.

In ORYX Console, the work order becomes a job: visits, hours, photos and materials in one place. The technician sees the job sheet in the iPhone app and punches in and out on site.
