Quote template · Word, Excel, PDF Free quote template (construction and services)
In short
A quote describes the work line by line (description, quantity, unit price), then the subtotal, GST, QST, total and the date until which the price holds. If you hold an RBQ licence, its number must appear on it, in the form “RBQ licence: XXXX-XXXX-XX”.
The generator below calculates the taxes, adds a deposit if you ask for one and includes the client's signature line. Print the quote, save it as a PDF, or download the Word or Excel template.
Prepare your quote
Fill in the fields: the preview updates as you type. Add as many lines as there are tasks. To start from scratch, clear the document: the expiry date is then set to 30 days, change it as you see fit.
Nothing is sent or saved: the quote is prepared in your browser and is erased when you close the page.
In the print window, choose “Save as PDF” to get a PDF.
Fictional example: replace it with your own information.

Download the quote template (Word and Excel)
Both files contain the fictional example of a roofing quote: replace it with your own work. In Excel, the GST, QST, total and deposit recalculate on their own.
In Word, totals don't recalculate: check them with the generator or in Excel.

What the quote must include
A clear quote answers the client's questions in advance: who does the work, what exactly, at what price, until when. What the template includes:
- Your business name and contact details, and your RBQ licence number if you hold one: the Building Act requires it on estimates and bids.
- The client's name and the job address.
- The work, line by line: description, quantity, unit price and amount.
- The subtotal, GST (5%), QST (9.975%) and total, each on its own line, if you are registered; otherwise, the total alone, with no tax.
- The date of the quote and the date until which it is valid.
- The terms: the deposit if there is one, the balance, the payment methods.
- A space for the client's acceptance and signature.
Language: under section 55 of the Charter of the French language, a contract of adhesion and a contract containing standard clauses, and the documents related to them, must be drawn up in French. Another language is possible only if that is the express wish of the parties; for a contract of adhesion, after the French version has been given to the client. The OQLF lists contracts among the commercial documents that must be given to customers in French. The generator produces the quote in French or in English: choose the document language.
With an individual, Quebec's Consumer Protection Act adds its own rules, which this template does not cover. Quote sent as a PDF and signed remotely: no payment before the work, except by credit card (s. 54.3). Roofing, doors, windows, insulation or siding signed at the client's home: an itinerant merchant licence from the Office, the particulars of section 58 with the cancellation form attached, and no deposit before the 10-day cancellation period ends (ss. 58 to 60; regulation, s. 7). If any of these particulars is missing, the client can cancel for one year (s. 59).
What the invoice that follows must show, by amount: the guide to required invoice information.
How long is a quote valid?
You decide, and you write it on the quote: an exact “Valid until…” date beats a duration that everyone counts their own way.
The generator suggests 30 days when you clear the document. It's a starting point, not a rule: if your material prices move fast, shorten it; for work planned far ahead, write what you can hold.

Frequently asked questions
Describe the work line by line, with a quantity and a unit price for each. Add the subtotal, GST and QST, then the total. Show the date of the quote, the date until which it is valid, the deposit if there is one and the payment terms. End with a space for the client's signature. The generator on this page does all of that and calculates the amounts.
For a contractor who holds a licence, yes: the RBQ asks for it on estimates, bids, contracts, account statements and invoices, in the form “RBQ licence: XXXX-XXXX-XX”. Members of the Corporation des maîtres électriciens du Québec and of the Corporation des maîtres mécaniciens en tuyauterie du Québec are exempt, according to the RBQ. Contractors domiciled outside Quebec are also exempt.
If you are registered, showing the subtotal, GST, QST and total avoids surprises: the client knows exactly what they will pay. Both taxes are calculated on the price before tax: 5% for the GST, 9.975% for the QST. In the fictional example, a subtotal of $7,840.00 gives a total of $9,014.04. If you are an unregistered small supplier, choose “Unregistered small supplier: no tax” in the generator: the quote shows no tax.
The quote proposes a price before the work, with an expiry date, and the client accepts it by signing. The invoice asks for payment for work done. Once the quote is accepted, its lines become the invoice lines.
With this template, you print the quote or send the PDF, and the client signs on the line provided. In ORYX Console, clients sign the quote online, from their phone, and sent quotes get automatic follow-ups at 2, 7 and 14 days.
